Privacy Policy

1. Who we are
MELBEA, located at Luxemburgstraat 20, 9140 Temse, Belgium, is the data controller for personal data collected through the melbea.be website. You can reach us by email at MELBEA.customers@hotmail.com or by phone at +32 489 82 59 40 or +351 918 699 460.
This privacy policy explains which data we collect, why we collect it, how long we keep it and what your rights are, in accordance with the General Data Protection Regulation (GDPR) and Belgian data protection law.
2. Which personal data do we collect?
We only collect the data you voluntarily provide through our contact and quote request forms:
Your name; email address and phone number; a description of your project, its location, surface area and estimated budget; and any other information you choose to share in your message.
During your visit, certain technical data may also be collected automatically (anonymised IP address, device type, pages visited), solely for security and statistical purposes, in line with our cookie policy.
3. Why do we process your data?
Your data is processed to: answer your enquiries; prepare a quote and, where relevant, arrange a technical site visit; prepare and carry out the agreed works; handle the administrative, accounting and legal follow-up of our assignments; and improve the functioning of our website.
We never use your data for commercial prospecting without your prior consent.
4. Legal basis for processing
The processing of your data is based on: your consent (submitting a form, accepting cookies); the performance of pre-contractual measures or a contract (quotes, execution of works); compliance with our legal obligations (accounting, taxation); and our legitimate interest in securing our website and improving our services.
5. How long do we keep your data?
Contact and quote enquiries that do not lead to a contract are kept for a maximum of 24 months. Data relating to an executed contract is kept for the statutory accounting and tax retention period (in principle 7 to 10 years in Belgium) and for the duration of the legal warranties applicable to the works.
Once these periods expire, your data is deleted or anonymised.
6. Who do we share your data with?
Your data is only accessible to MELBEA team members involved in handling your enquiry or project.
It may be shared with our subcontractors, architects or partners only where necessary for the completion of your project, and with our technical service providers (website hosting, audience measurement tools) strictly within the scope of their mission.
We never sell or rent your personal data to third parties.
7. Transfers of data outside the European Union
In principle, your data is processed within the European Union. Should a technical provider (such as Google Analytics) process data outside the EU, we will ensure that appropriate safeguards are in place, such as standard contractual clauses approved by the European Commission.
8. How do we protect your data?
We implement appropriate technical and organisational measures to protect your data against loss, unauthorised access, disclosure or alteration: a secure connection (HTTPS), access restricted to the relevant persons, anti-spam protection on our forms and strict limits on retention periods.
9. Your rights
Under the GDPR, you have the following rights: the right of access to your data; the right to rectification of inaccurate data; the right to erasure (right to be forgotten); the right to restriction of processing; the right to object to processing; the right to data portability; and the right to withdraw your consent at any time, without affecting the lawfulness of prior processing.
To exercise these rights, contact us at MELBEA.customers@hotmail.com. We will respond to your request within one month.
10. Complaint to the supervisory authority
If you believe that the processing of your data does not comply with the regulations, you have the right to lodge a complaint with the Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.
11. Cookies
The use of cookies on this website is detailed in our cookie policy, accessible at the bottom of every page. You can change your preferences at any time via the « Manage your consent » page.
12. Changes to this policy
We may update this privacy policy to reflect changes in our services or in legislation. The date of the latest update appears at the top of this page. We invite you to consult it regularly.
